What a DMC in Prague Actually Does - and When Your Company Needs One

A destination management company (DMC) is the local partner that turns your event brief into a working programme on the ground. In Prague, that means one team sources the venues, hotels, transfers, dinners and activities, then runs them on the day.

It is a busy city to do this in. Prague hosted 5,166 events with more than 850,000 delegates in 2025, so the best rooms and dates go early, usually to planners who know exactly where to look.

What a DMC does that a hotel or travel agent doesn’t

A hotel looks after what happens inside its own walls. A travel agent books flights and rooms. A DMC owns everything in between, across every supplier your event touches.

In practice, a Prague DMC typically handles:

  • Sourcing and negotiation: hotels, meeting venues, restaurants, guides, coaches and performers, often at group rates built on long local relationships.

  • Programme design: the balance between business sessions and Prague experiences, from a private castle tour to a dinner cruise on the Vltava.

  • Logistics: airport transfers, coach timings, rooming lists, dietary requirements and accessibility needs.

  • On-site management: staff at the hotel desk and at every venue, solving problems before guests notice them.

  • One contract, one invoice: instead of ten suppliers with ten deposits and ten cancellation policies.

When your company needs a DMC, and when it doesn’t

You probably don’t need one for a six-person board meeting in a single hotel. The hotel’s events team can handle the room, the coffee and the projector.

A DMC earns its fee when the event has moving parts. Common triggers include:

  • Groups of around 30 people or more

  • Multi-day programmes that use several venues

  • Incentive trips, where the experience itself is the reward

  • Attendees flying in from many countries

  • A first event in Prague, with no local contacts to lean on

If two or more of these apply, an experienced DMC in Prague will usually save more in time, mistakes and supplier rates than it costs.

How the process works, step by step

  1. Brief. You share objectives, dates, group size, budget per person and must-haves.

  2. Proposal. The DMC sends several venue, hotel and activity options with costs.

  3. Shortlist. You narrow the choices while the DMC checks availability and holds space.

  4. Site inspection. Decision-makers visit Prague to see the shortlisted venues in person.

  5. Contracting. Deposits, cancellation terms and hotel attrition clauses are agreed.

  6. Final details. Rooming lists, dietary needs, transfer manifests and the run-of-show are locked.

  7. Delivery. The DMC team runs the programme on the ground.

  8. Reconciliation. Final numbers are checked against contracts and invoiced.

Take the site inspection seriously. Photos rarely show ceiling heights, walking distances or how loud a stone hall gets with 200 people in it. Some DMCs, including Prague Eventery, plan a full inspection itinerary and often run the visit at little or no cost, crediting items such as accommodation back once the event is confirmed.

Prague details a local partner handles for you

Every city has quirks. These are the ones that most often catch first-time planners in Prague:

  • Coach access: large coaches can’t stop just anywhere in the historic centre, so drop-off points and walking routes need planning.

  • Cobblestones and hills: beautiful, but harder in formal shoes or for guests with mobility needs, especially on the way up to Prague Castle.

  • Currency: Czechia uses the Czech koruna (CZK), not the euro, so agree the currency of every contract.

  • Historic venue rules: palaces and monasteries often limit candles, decorations, sound levels and set-up times.

  • Peak dates: spring, autumn and the Christmas market season fill quickly, and hotel rates rise with demand.

Questions to ask before you sign

  • How long have you been operating in Prague?

  • Which venues have you used for groups our size?

  • Can we speak to two or three recent corporate clients?

  • What does your management fee include, and what is charged separately?

  • How are supplier deposits and cancellation terms passed on to us?

  • Who will be on-site, and how many staff will there be per guest?

  • What happens if a venue, coach or speaker falls through?

Clear, specific answers to these questions will tell you more than any brochure.

Quick answers

How far ahead should you contact a DMC in Prague? For groups of 50 or more, six to twelve months ahead is sensible. Peak-season dates and large conferences need longer.

Does a DMC cost more than booking directly? You pay a management fee, but group rates and avoided mistakes often offset it. Ask for fees and supplier costs to be shown separately.

Can a DMC help with hybrid events? Most can source audio-visual and streaming partners. Confirm this at the proposal stage.
